Managing Teachers at Classe365

This documentation allows organization admin to manage the teachers at Classe365

Classe365 is a comprehensive student management system that helps schools and educational institutions manage their day-to-day operations. One of the key features of Classe365 is its teacher management system, which allows schools to easily manage their teaching staff and their responsibilities.

STEP-1: CONFIGURE TEACHER ATTRIBUTES

Classe365 allows you to customize and manage teacher information. Go to Modules > Teacher Fields

On the left panel, you can see all the different type of fields that can be utilized to create a teacher profile.

Classe365 has the following field types to build a teacher profile.

  • Text - can be used to capture any alphanumerical string data for a teacher.

    • Example - Middle Name of a teacher.

  • Textarea - can be used to capture larger text.

    • Example - address of the teacher.

  • Date - can be used to capture date, this is important as the system will provide date pickers while capturing the date on teacher profile.

    • Example - Passport Expiry Date.

  • Selection - can be used to select one of the dropdown values from a list.

    • Example - Country of Residence

  • Checkbox - this field type can be used when you want to capture more than one option in the list.

    • Example - Hobbies or Interests of the teacher.

  • External Link - this field allows you to capture the link which is clickable.

    • Example - LinkedIn profile link of the teacher

Simply, drag a field from the left pane into the field group to create a new field.

Field Settings

Setting up fields is important to validate the teacher data while it's being captured. Classe365 allows the following field settings:

  • Status - setting visibility of the field

    • Published - all published fields are available to view/update.

    • Unpublished - unpublished fields are not available on the teacher's profile.

  • Rules: used to set up the format of the field.

    • Required - can be made optional or mandatory with this option.

    • Email - validate the field value to be in the email format, [email protected]

    • Date - used to make a field value as the date format.

  • Editable To - allows the edit permission to teachers

After configuring the teacher fields, the next step is to add teachers.



STEP-2: ADDING TEACHERS

Teachers can be added through 3 types:

1) Adding Teachers Manually

Go to Modules > Student Information System > Teachers & Admin Staff

Click on "โž• Add Teachers".

The system will load the adding teacher's form with all the teacher fields created and published in the 1st step. Fill in the teacher information and save to add teacher record manually.

2) Adding Teachers in Bulk

Classe365 has an easy import option via Excel or CSV file. To add teachers in bulk, first download the import format with all the fields you've configured in the 1st step.

Go to Account > Org Settings > Import/Export > Export Teachers Data

The system should download an Excel file with all the fields created, keeping the file column headers insert the teacher information in the rows.

NOTE:

  • Teacher IDs need to be unique, and if you are trying to update a teacher record, please insert the same teacher ID that is captured in the system already.

  • Date type of fields should have the dates in the format "yyyy-mm-dd". Example - 2024-12-30.

Once adding all the teacher information, you can import back using the "Import Data" button.

3) Registering Teachers via Form

Admins can create a form in the CRM Enroll & Forms Module to register a teacher. Here's a documentation that describes this feature.


STEP-3: ASSIGNING SUBJECTS TO TEACHERS

After adding the teachers in the system, to let the teachers take classes, and attendance, it is important to assign the subjects, and set up Class Schedules.

STEP-4: INVITING TEACHERS TO PORTAL

After assigning the subjects to teachers, creating class schedules for them, the teachers should be ready to access the portal, and start managing their activities.

STEP-5: MANAGING TEACHER RECORD

Classe365 also allows you to manage your teachers' record, making it easy to keep track of their courses, class schedules and teaching hours. To view the teacher information, simply click on the teacher profile.

In the next window, you can view the teacher record, and manage their information.

Subjects Assigned to Teacher

To view the subjects assigned to the teacher, click on the "Subjects" tab from the teacher profile.

Class Schedules

To view the classes schedules for the teacher, go to Class Schedules tab from the teacher profile.
