Library Module & Digital Contents Guide

This documentation helps admin to manage books using our library module.

The Library Module in Classe365 provides educational institutions with a solution to manage physical catalog inventories and share digital learning resources across the campus. Administrators can customize catalog metadata, catalog books using automatic ISBN lookup, upload digital resources, and control access permissions for students, teachers, parents, and administrators.

1. Physical Book Management

Step 1: Set Up Custom Book Fields

Before adding physical inventory, administrators can define custom metadata fields (e.g., Rack Number, Edition, Supplier) tailored to the institution’s cataloging requirements.

  1. Navigate to Modules > Student Information System > Library > Book Fields.



  2. Drag & Drop the required field types (Text, Dropdown, Date, etc.) onto the form canvas.


  3. Edit the Label, mark fields as required or optional, and click Publish.


Step 2: Add Books to Inventory

Books can be added manually, automatically via ISBN lookup, or through bulk import via Excel file.

1) Add Books Manually

Go to Modules > Library > Books


​Click on "➕ Add Book" button and complete the book information.

2) Add Books Using Automated Search via ISBN:

  • Enter the ISBN number into the search field and select Auto Search.

  • The system automatically populates details such as Book Name, Author, Description, and Cover Image.

3) Import Books Using Excel/CSV

  • Click on the hamburger menu, and select "Import Books."

  • Download the "Sample File" it gives you all the custom book fields.

  • Complete the information in the downloaded sheet, and import.


2. Digital Content Management

Administrators can upload digital resources (such as e-books, exam papers, syllabus copies, and guides) and share them directly with specific user roles or all users.

Select "Everyone" OR "Selected Users"

Step 1: Uploading Digital Content

  1. Navigate to Modules > Library > Digital Contents.


  2. Click the + Add Digital Content button in the top-right corner.


  3. Fill in the Content Details:

    1. Content Title (Required): Enter the title of the resource.

    2. Content Description: Provide background details or instructions regarding the files.

    3. Adding Attachments

      1. Under Attachments, drag and drop or browse to select files.

        1. Supported Formats: PDF, DOCX, XLSX, images (up to 2 MB per file).

        2. File Limit: Upload up to 5 files per digital content record.

    4. Configuring Visibility & Target Audience

      1. Choose who can view and access the digital resources under the Visibility section.

  4. Click Save / Publish to make the digital content available.

Student, Teachers, and Parent Portal


Check Out Books to Students and Teachers

To checkout books for students, and teachers as a Librarian/Admin, go to Modules > Library > Books > Checkout

Fill in the "Days Left to Checkout" and select student/teacher to checkout.


Library Module Book Reports

Classe365 generates the Library Module Book Reports to an Excel/CSV, to track the check-in and check-out logs, go to Modules > Administration > Insights

From "Library" tab click on the reports that you would like to extract.
