Attendance Module and Leave Request Management — Approval or Rejecting Leaves

Leave Request Management is an off the shelf module that automates the entire process of applying for, approving, and tracking time off for students.

To configure the leave request, follow the steps below.

STEP-1: Create Attendance Status

The system includes three default statuses designed for internal use:

  1. Present — to indicate when a student is marked as present.

  2. Absent — to indicate when a student is marked as absent.

  3. Null — to indicate when a student is neither marked present nor absent; this status is not included in attendance calculations or reports.

Go to Attendance Settings, and create personalized attendance statuses using the “Add New Status” button.

If your attendance is being tracked for the entire school, by individual subject, by session, or by both subject and session, enable the related settings.

STEP-2: Activate Leave Requests

Admins can activate leave requests by enabling the following options.

  • Allow students to request a leave?

  • Allow parents to request a leave?

NOTE:
When leave requests are directed exclusively to admin users, a single leave request is generated for the entire leave period. Whether a student applies for one day or multiple days, only one request will be created. Approval or rejection of the leave request is handled solely by admin users. In this mode, students cannot submit leave requests by subject and can only request leave for full days.

When leave requests are sent to both admin users and teachers, separate leave requests are created for each subject. Both the admin and the assigned subject teachers have the authority to approve or reject these requests. In this mode, students may request leave for individual subjects or for the entire day. Even if a student submits a full-day leave request, individual requests will be generated for each enrolled subject.

Manage Leave Types

By default, Classe365 has the following built-in leave types.

  • Medical Leave

  • Vacation Leave

  • Religious Leave

  • Weather-Related Absence

Admins can add personalized leave types such as Bereavement Leave or Catastrophic Leave using the “Add Leave Types” button.

When a student or parent submits a leave request, you have the option to approve or reject it.

How can a student/parent raise a leave request?

Refer to this documentation to check how students, or parents, can submit a leave request.

STEP-3: Managing Leave Requests

Once the students, or parents, submit the leave requests, you'll be notified via email to take action.

Go to Modules > Attendance > Leave Requests and approve or reject.

Once approved, the teachers will be able to see that there's a leave request submitted by the student, and approve if teacher approval is enabled.

FAQs

1) Can I customize the email notification for leave request?

Yes, it is available in the Email Template settings, only super-admins can configure this.

2) We only have subject wise attendance enabled. Does the student need to raise a request for each individual subjects for a day?

Leave requests are sent to both admin and teachers, separate leave requests are created for each subject. Both the admin and the assigned subject teachers can approve or reject the requests. In this mode, students can request leave either for individual subjects or for the entire day. Even if a student submits a leave request for the full day, individual leave requests will be created for each enrolled subject.

3) We have 2 sessions (Morning, and Noon), can student apply to take leave for a specific session?

No, a student only applies to take leave for a whole day, and hence we don't allow taking leave for a specific session.
