Classe365 is a comprehensive student management system that allows you to easily manage your students' progress and advancement. One of the key features of Classe365 is the ability to move or advance students to the next level using the academic session. This article will guide you through the steps to take
Step 1: Log in to Classe365 as Super-Admin
In order to move or advance students to the next level, you will need to log in to your Classe365 account as an "Admin". If you do not have an account yet, you can sign up for one on the Classe365 website.
Step 2: Create Academic Session
From your navigation bar, click on Global Data > Create Academic Session
Give the session a name, start and end date along with the status and create.
Step 3: Enable/Disable Courses
Before moving to the next step, it is important to enable the courses offered in the new academic session, or disable the courses that are no longer offered in the new session. Please note, you may not be able to enable/disable courses later.

Step 4: Enroll Students in the New Academic Session
Once you have created academic, go to Modules > Student Information System > Students
Before moving the students into the new students, please update the student enrollment status, and subject enrollment status of the students to either "Completed" in the old academic session. Here's a documentation on updating the student enrollment status.
Select Class/Section > Select Student Records to Move to the Next Session > Students Enrolment
In the next pop-up, you'll need to select the new "Academic Session" created in the first step, and the Class/Section you want to advance/move the student.
In this example, I'm advancing/moving students from:
Academic Session "2023-2024"
Grade 6 - Division A
Academic Session "2024-2025"
Grade 7 - Division A
Step-5: Confirm Students Moved
Now, you should be able to see all the students enrolled in the "2024-2025" and "Grade 7 - Division A".
Duplicate Previous Academic Session Data to New Academic Session
Classe365 provides an option to duplicate old or previous academic session data in the new academic session. To do so, head over to Global Data > All Academic Session (new module) from your navigation bar.
Click on the copy action button on the new academic session.
Please note, you'll need to click on the copy action in the new academic session.
In the next window, you'll need to:
Copy data from: Select the old academic session (previous academic session - data source).
Existing Data:
Keep it as it is: will keep the existing data in the new academic session as it is, this is useful when you have captured or updated some data in the new academic session such as configured the gradebook settings, captured attendance or so.
Flush existing data: will remove all the data in the new academic session, and duplicate the same settings from the old academic session.
Data to be copied:
What all settings need to be duplicated from the old session.
Please note that the copy process will take some time as this mechanism include a complex process. If you are experiencing any problems with the copy process, OR if the copy process is stalled, please reach out to our support team.
Admins can always check the progress of the copy process by clicking on the "copy button" again.
Once, the copy process is completed, the admin will receive a confirmation email, it might take some time to copy depending on the amount of data to be copied.
Exporting Reports from Previous Session
Classe365 organizes information within an academic session, to export the reports from any previous session, go to Modules > Administration > Reports
From the top-menu, select the "Old Academic Session".
Capturing Scores or Attendance in the new academic session
To capture scores, or attendance, all you need to do is just select the "New Academic Session" created in the first step.
In case you want to make this session "active" or "default" for all your admins, teachers, just drag/drop this session to the top in "Academic Session (new module)" page.
After moving to the top, when you log out and login back to the system, this session should be default for all.
You can also lock the old session to avoid teachers modifying the information. Here's a documentation on the same:
