Enrollment Status Auto Update using Classe365's Pass Mark Feature

This article will walk you through the process of setting up the pass-mark and updating the student's enrollment automatically

Classe365's Pass mark feature is designed to be a helpful tool for identifying and organizing students who have successfully passed a course or exam. By setting a pass mark, you can easily generate a list of students who have met the required score and update their enrollment status accordingly. This not only saves time and effort for administrators, but also ensures accurate and up-to-date records for each student.

1) Updating Subject Enrollment Automatically

Here are the steps in setting up Pass marks:

STEP-1: Update the Pass mark

There are 2 ways to update the Pass mark

1) Globally

2) Individual Subject Specific

Set Pass mark Globally

To set pass mark globally, navigate to Modules > Manage Assessment & Grading

Then to Grade Setup tab and set Passing Score Limit

Set a numeric value, and click on "Save".

Set Pass mark Subject Specific

To set pass mark subject specific, navigate to Modules > Manage Assessment & Grading > Grade Setup > Manage Weights, Overall Score Grading Scales and Passing Score Limit

Click on the tab "Overall Score Grading Scales and Passing Score Limit", and uncheck the default passing score limit set globally, and you'll have an option to set the pass mark for an individual subject.


STEP-2: Capture Scores In Gradebook

After setting up the pass mark, go to Gradebook and start recording the scores for all the assessments.

Once you obtain the overall score, the system is tailored to highlight the scores below the pass mark.

Look for the "Enrollment Status" which says "In Progress" for student with failed mark. To update the enrollment status automatically, proceed to "STEP-3".


STEP-3: Trigger Auto Enrollment Status Update

To trigger the auto enrollment status update, click on the button highlighted below on the "Enrollment Status" column.

Select the statuses to consider for auto enrollment status update, and click on "Update".

Once the update is done, you should now see the student's subject enrollment status is changed to either "Complete" or "Incomplete" based on their obtained mark v/s pass mark.

The system will also maintain the logs of enrollment status triggers for the past 30 days.


2) Updating Class/Section Enrollment Automatically in Bulk

The admins can automatically update the student's class/section enrollment in bulk based on their subject enrollment status.

Please be aware that student's enrollment status will be determined automatically based on their subject's enrollment status.

  • If all subjects are marked as "Completed", the student's enrollment status will be changed to "Completed".

  • If there is at least one subjects marked as "Incomplete", the student's enrollment status will be changed to "Incomplete".

  • If any subjects have an Enrollment status other than Completed or Incomplete, the system will not automatically determine the enrollment Status. Therefore, it will not update it and will keep the current enrollment status as is.

Go to Modules > Manage Students

Filter Students by Class/Section > Select student records > Update Student Enrollment Status

In the next window, select "Automatically" and click "Save".

Now, Classe365 will auto update the student's enrollment status based on their subject enrollment status.


3) Generating Reports

1) Generating Student Enrollment Statistics Report

Now, to generate the "Student Enrollment Statistics Report" on getting how many students have passed for a session. Head over to the Reports Module > Academics > Student Enrollment Statistics Report

This report will generate the total number of students in a Class/Section with the enrollment statuses they are in.

2) Generating Student's Pass Rate Report

Use the option "Student's Pass Rate Report" to generate the reports based on the student's class/section enrollment status.

This report will give you the student's pass rates for any class/section.
