Welcome to the comprehensive setup and reporting guide for the Classe365 Compliance Module. This module streamlines your regulatory reporting requirements by organizing pre-built compliance frameworks and guided pathways into a single, unified workspace.
Use this documentation to walk through activating a framework, mapping data fields, resolving student record anomalies, and generating final compliance submissions.
Step 1: Choose a Starting Point (Frameworks or Pathways)
Navigate to the compliance dashboard to select the regulatory structure required for your institution. You have two primary entry points:
Compliance Frameworks: Pre-built reporting setups for major regulators if your institution is already accredited (e.g., AVETMISS, CRICOS, ESOS, Ontario PSE).
Pathways: Guided, stage-by-stage journeys if you are working toward a new accreditation or registration.
To start, click on Compliance Library or Pathways in the left navigation sidebar under the "Explore" menu.
Step 2: Activate the Framework
Browse through the available country-specific or global compliance packs.
Locate your required pack (e.g., AVETMISS under the Australia tab).
Click the blue Activate → button on the framework's card.
Step 3: Complete Setup Prompts & Continue
An activation wizard will appear to guide you through a 4-step process: Overview, Plan, Provision, and Done.
Review the framework overview details (e.g., number of fields required and submission channel types).
Complete the required organization prompts under the configuration fields (such as entering your RTO Code, State, RTO Name, and Compliance Contact Email).
Click the blue Continue button in the bottom right corner.
Step 4: Map Data Fields
In the Plan step, define how the required compliance fields match your current database structure. You must select an option for each attribute listed under the data objects (e.g., Student):
Map to existing: Select this option if you already track this attribute using an existing column in your system (e.g., mapping
Unique Student Identifier (USI) toAdmission No).Add new field: Select this if you do not track this specific attribute yet. Classe365 will automatically provision a new system attribute (e.g., creating a new custom field like
avetmiss_usi).
Once all fields are properly mapped or assigned, proceed to provision the fields.
Step 5: Enter the Compliance Workspace
Once the system finishes configuring your data model, forms, and validation rules, you will see a success confirmation screen (e.g., "AVETMISS Pack activated").
Click the Take me to the workspace button to open your dedicated reporting dashboard.
Step 6: Review & Complete Missing Student Information
Inside your workspace, you will find active tracking metrics for your current reporting cycle (filtered by Academic Session, Year, and Quarter). Before generating a report, review the data quality cards:
Check the Records with Issues card to locate incomplete profiles.
Click into the flagged records to fill out any missing student attributes or fix validation errors to ensure 100% compliance readiness.
Step 7: Generate Submissions
Once your data is updated and you're ready to compile the files:
Verify that your Academic Session, Year, and Quarter filters are correctly configured.
Click the Generate Submission button located in the top-right corner of the workspace header.
Step 8: Complete Framework-Specific Submission Workflow
A modal window will appear running a pre-submission data validation check.
Review the final count of Records, Errors, and Warnings.
⚠️ Note: Any outstanding Errors must be fixed before proceeding, whereas Warnings can generally be overridden if the data is intentionally left as-is.
Check the authorization checkbox stating: "I've reviewed this data and confirm it's ready for submission..."
Click the blue Generate Final Submission → button.
Step 9: Complete Framework-Specific Submission Workflow
Depending on the compliance framework you are using, the final submission step will adapt to that regulator's specific portal requirements. For frameworks requiring a manual upload process (such as AVETMISS), follow the interactive step-by-step submission tracker:
1. Download the Reporting Package
Click the purple Download button to save the generated framework package (e.g., a .zip file containing your NAT files) directly to your local device.
Once saved, click I've downloaded it — next step.
2. Log in to the Regulator Portal
Click the Open Portal button (e.g., Open AVS) to navigate directly to the regulator's external login page.
Sign in securely using your registered institutional credentials.
After logging in successfully, return to Classe365 and click I'm logged in.
3. Upload the Package & Await Validation
Navigate to the submission or upload area within the regulator's portal.
Upload your downloaded .zip file.
Follow the portal's on-screen steps while the regulator validates the data package.
4. Confirm and Close out the Submission
Once the regulator's portal approves the validation checks, verify the final submission receipt or summary details.
Return to your Classe365 submission tracker to see the updated status (e.g., moving from Awaiting Confirmation to Complete).
Click the final Mark complete step to successfully close out the current reporting cycle.
Your formatted submission files will be generated instantly, ready for you to download and upload to your regulator's portal.
