Class Scheduling Module

The Class Scheduling module is a software application that helps to create and manage the schedules of classes, teachers, and students. It allows the organization administration to plan and allocate the resources efficiently and effectively. Classe365's class scheduling module typically has the following features:

  • It enables the organization to design and generate timetables for different courses, batches, semesters, and departments based on the availability of teachers, rooms, and resources.

  • It allows the institutions to assign subjects and teachers to the classes according to their qualifications, preferences, and workload.

  • Furthermore, it helps the institutions to communicate the timetables to the teachers and students via dashboard, and mobile apps.

  • It facilitates the institutions to track and record the attendance of students for the class scheduled.

  • It provides the institution with reports and analytics on the timetables, attendance, academic progress, and performance of teachers and students.

Let's dive in creating a class schedule for your organization.

STEP 1: Create Schedule Category Template

The Class schedule category template will reduce the repetitive work when you are using multiple schedule category to manage class schedules. It allows you to configure various options such as start day of the week, working days and so on.

Go to Modules > Schedules & Communications > Manage Class Schedules

Go to Settings > Add New Template

Here, you'll need to configure the options to schedule classes throughout the week.

To add "Breaks" in between, you can use this option.

After configuring the schedule category, click on save, and let's proceed adding category.


STEP 2: Create Resources

Resources can refer to the physical locations where classes are scheduled, such as the classroom numbers or names of the meeting room. It provides users with information on where their class is taking place.

To add a Resource, go to resources tab, and click on "Add Resource" button.

The "Conflict Check" can be useful when you are trying to add a resource to a schedule that is already engaged with another schedule but plans to also use that resource.


STEP 3: Create Schedule Category

Select the "Academic Session" and click on "Add Schedule Category"

There, we can select the template created in the first step to prepopulate the working days, and time.

Category Type - there are 2 types of schedule categories:

  1. Class Schedule - it is used when the schedule is going to be managed to the subjects within a class/section. Example: Maths Schedule, English Class etc...

  2. General Schedule - it is used when there are some events which isn't part of the enrolled subjects. Example: Prayer, Yoga session, etc...

If it is a Class Schedule, and you want to have specific number of session each week. You can use the option highlighted below:

After setting up the category, the next step is to add schedules in that category.


STEP 4: Adding Schedules to the Category

After setting the schedule category, go to "Schedule Categories > Calendar-Icon" to add schedules.

Class schedules can be added in 3 ways:

  1. Drag/Drop interface

  2. Manually adding schedule via form

  3. Bulk Upload via Excel Spreadsheet

1) With Drag/Drop

You can easily select the block of a subject, and drag it across the calendar.

Notice, we can't add the resources, and other information here. To add schedules in a granular way, go with "Add Through Form".

2) Add Through Form

You can add new schedule, or edit an already drag and dropped schedule with more information like resources, description using this way.

3) Bulk upload the schedules via Excel sheet

Use the upload button to bulk upload schedules.
