Once the user has signed into the account, The user needs to verify the account for the account to be activated.

In the email, the user will get the Sign-in URL, Username and the nominated password. The user will also have access to the video link explaining everything the user needs to get started,

  

Once the user has logged in to the account, The user needs to sign in with his respective designation (Ex: Admin, Teacher, Student & Parent)


Once the user has signed in, The platform is ready to be explored.

Step 1:

Managing and Updating the Institution Details:

To Update/Manage the Institution details;
Go to Settings----> Settings for <Institution/University/School> Name

Here the user can update the Logo, Country, Country Code and many more Tabs.

Note: Country Code is required to ensure Students successfully receive SMS's.

Classe365 also has Customise Login Screen in which the user can add Overview Contents, Banner and a Background Video.

Step 2:

Managing Academics (Department,Class,Section & Subject):

It is important to setup Department (If Necessary), Class, Section & Subject before advancing.
Before we explore more about Managing Academics, Let us understand the different terminologies used in Classe 365.

Department, Class, Section & Subject Explained.

Different education institutions name or group students differently. Classe365 academic structuring enables any type of education institution to group students according to individual needs.

By Default, The Department Icon is Disabled. The user can enable the Icon and then add the Department name.

Setting up Class,Section & Subjects:

Classe365 provides the flexibility of adding the Class, Section & Subjects In Bulk as well as adding the data Individually on a manual basis. Let us look at both these options.

a). Uploading the data in Bulk:
      To Upload the data in Bulk, go to Settings---->Settings for <Institution/University/School> Name---->Import/Export Data


The user can download the sample file and then format the data accordingly. The user also has the flexibility of Exporting the Data.
After downloading, populate the sample data with real data from your education institution. From just one file you can upload class, sections (if any) and subjects taught in every class and section.

Below is the snapshot of the Sample file.

Note: There are Guidelines for importing the data at the bottom of the page.

b). Uploading the data Manually:
     The user can upload the Department,Class,Section and Subject manually,
Go to Modules---->Class & Subjects---->Manage Class & Subjects

      


From here, you can individually add Department,Class,Section & Subject, Subject.
The Add subject Tab is hidden and can be enabled by clicking on the icon as shown below.

From here the user can Add Department,Class,Section and Subjects as per the user's requirements.

Step 3:

Setting/Managing Student:

Classe365 has the flexibility of uploading student data in bulk or manually, similar to setting up departments, class, sections & subjects. Let us take an in-depth look into both these options.

a). Uploading the data in Bulk:

To upload the student data in bulk, go to
Settings---->Settings for <Institution/University/School> Name---->Import/Export Data----> Student

The user can Export the Data and can use the sample file to make the required edits and then import the file back to the platform from the Import Data Tab.

A Sample screen-shot of the export data file is shown below:

Note*: The user has to upload all the required data for Class, Sections & Subjects before proceeding to the Student Data.

b). Uploading the data Manually:
      Classe365 has the flexibility of adding the data manually by clicking on the add student icon.

Here the user can make all the necessary changes to suit his/her requirement.

We have the student portal feature as well, which can be used to send username & passwords through Email and SMS. 

Allocating Elective Subjects:

Classe365 give the user to add on elective subjects to students if required.
To add an elective subject, go to;
Modules---->Class & Subjects---->Manage Class & Subjects
As mentioned before in the article, enable the add subjects tab which is hidden and then add the subject name, code, credits and then subject TYPE (Core or Elective)
Here click on Elective to set the particular subject as an Elective Subject and then Click on Add.

Managing Student Fields:

The platform provides the user the option of managing/creating student fields.
To Manage the student fields, go to
Modules---->Student---->Manage Student Fields.
Here the user can make the edits as per the user's requirement.

The user can also create a Field Group Name and add the customised student fields.

Managing Teacher/Administration Staff:


Similar to uploading student data, uploading teachers and non-academic staff are easy. There are two options to upload academic and non-academic staff information.

a). Uploading the data in Bulk:
    To Upload the data in Bulk, go to Settings---->Settings for        <Institution/University/School> Name---->Import/Export Data

The user can Export the Data and can use the sample file to make the required edits and then import the file back to the platform from the Import Data Tab.

b). Uploading the data Manually: 

Similar to uploading the data manually for students, Classe365 has the similar feature for uploading the data manually for the teacher/Administration Staff as well.

The user can add the teacher/administration staff by clicking on add teacher/administration staff icon.


Similar to Student portal, we also have Teacher and Administration staff portal which can be used to send out Emails & Messages.

Subjects Allocation:

Once the teacher has been added, The subject needs to be allocated to the teacher. This is done by Subjects allocation Tab. Go to
Modules---->Teacher/Admin Staff---->Subjects Allocation

Go to the particular class for which the user wants to assign the teacher and then click Get Section.

Once the Subject is displayed, click on select teacher and it will display all the available teachers, click on the respective teacher and then update the data.

After the data has been updated, confirm the teachers has been allocated by clicking on the Class and then checking the display.
Example is shown below.

Manage Teacher Fields

The platform provides the user the option of managing/creating Teacher fields.
To Manage the teacher fields, go to
Modules---->Teacher/Admin Staff---->Manage Teacher Fields.
Here the user can make the edits as per the user's requirement.

The user can also create a Field Group Name and add the customised student fields.

For Parent:

Manage Parent:

Manage parent helps the parents to receive updates through SMS or Email about the student's progress.
Go to, Modules---->Parent---->Manage Parent

 
Classe365 uses certain default naming terminologies. If you need to change these, go to Settings---->Terminologies
